Direct Debit Schedule

Version 1.2Published 12 October 2026

This is version 1.2, kept at this address permanently. The current version is always at solmedia.com.au/studio/direct-debit.

This schedule is written in plain English. It sets out how Sol Media uses direct debit. It sits alongside the Website Build Terms, the Payment Plan (Schedule 2) and the Care Plan Terms.

1. How this fits with the Direct Debit Request

1.1 You set up direct debit in our payment provider's direct debit form, after you have signed your quote. When you do, you agree to a Direct Debit Request (DDR) and the DDR service agreement. Those are provided by our payment provider, Stripe Payments Australia Pty Ltd ("Stripe"), who takes the debits on our behalf through the Bulk Electronic Clearing System (BECS).

1.2 This schedule adds Sol Media's details: what we debit, when, how we tell you, and how you can change or stop it. If this schedule and the DDR service agreement differ on how a debit is processed, the DDR service agreement applies.

1.3 We email you a copy of your DDR, the DDR service agreement and this schedule when your direct debit is set up. You can ask us for another copy at any time.

2. What we will debit

2.1 Direct debit is used for payments 2 to 4 of the Payment Plan, and for the monthly Care Plan payment if you choose the care plan. Your first payment (the deposit) is always by card or bank transfer. It is never a direct debit.

2.2 Payment Plan debits (all amounts include GST):

PaymentWhenEssentialSignature
2Week 2$375.00$625.00
3Week 4$375.00$625.00
4Week 6$375.00$625.00

Weeks are counted from the date your first payment cleared. We email you the exact debit dates when your direct debit is set up.

2.3 Care Plan debit: $55.00 each month ($50 + GST), on the same date each month as your handover date, starting on the day of handover. In a month without that date, we debit on the last day of the month.

2.4 We will not debit any other amount without your written agreement. If you ask for a bolt-on or extra, we quote it first, and we only debit it if you agree to that in writing.

2.5 If a debit date is not a business day, we debit on the next business day. A business day is Monday to Friday, excluding public holidays in Victoria.

2.6 Paying early. You can ask us in writing, by email, to pay your remaining Payment Plan instalments early (Schedule 2, clause 10 of the Build Terms). Your written request counts as your agreement to the changed debit date, so the notice in clause 4.3 does not apply. We then debit the instalments together on the date we agree with you, or you pay them by card or bank transfer. There is no fee.

3. How your bank statement will look

3.1 Debits will show on your statement as SOL MEDIA STUDIO.

4. How we tell you

4.1 When your direct debit is set up, we email you to confirm it. The email shows the business name on your statement, the amounts and schedule, and a link to your DDR.

4.2 Before each debit, we email you the date, the amount, the last four digits of your account and your mandate reference.

4.3 If we need to change the amount, the date or any other term of your direct debit arrangement, we give you at least 14 days' written notice first, apart from price changes for the care plan, which need 30 days' notice under the Care Plan Terms.

5. Changing or stopping a debit

5.1 You can ask us to change, defer or stop a debit, or cancel your direct debit arrangement, by emailing mail@solmedia.com.au. We need at least 7 business days before the debit date to act on it. You can also contact your own bank at any time.

5.2 Care Plan. Cancelling the care plan stops its debits. The Care Plan Terms say what happens if a debit is already too close to stop (we refund it in full).

5.3 Payment Plan. Stopping a direct debit does not cancel your plan. You still owe the remaining instalments, and you pay them another way. The Build Terms say what happens if you cancel the job itself.

6. If a debit fails

6.1 If a debit does not go through, for example because there is not enough money in your account, we email you the same business day.

6.2 We try again once after 5 business days. If it is still unpaid, the steps in clause 7 of Schedule 2 of the Build Terms (Payment Plan) or clause 8 of the Care Plan Terms apply: a reminder, then 7 days' written notice, then a pause.

6.3 We do not charge a late or failed-payment fee. Your bank may charge you its own fees, so please check your account before each debit date.

7. If something looks wrong

7.1 If you think a debit was wrong, or you did not authorise it, tell us straight away by email at mail@solmedia.com.au and tell your bank. We will acknowledge your message within 1 business day and look into it.

7.2 If we made a mistake, we refund the amount in full within 5 business days. If we find the debit was correct, we explain why in writing.

7.3 You can still raise a complaint under clause 15 of the Build Terms, and with your bank, Consumer Affairs Victoria or the ACCC at any time.

8. Your account

8.1 You confirm you are the account holder, or an authorised signatory on the account.

8.2 Please check your account can be used for direct debit, and that it holds enough money on each debit date.

8.3 Tell us if you close the account or change your bank details, so we can set up a new direct debit. If your account closes and we have no working direct debit, we treat the next payment as a failed debit under clause 6.

9. For business use

9.1 If you are using the Payment Plan, you confirm you are buying your website for business purposes, not for personal, household or domestic purposes. You confirm this when you sign your quote.

10. Your details

10.1 Stripe processes your bank account details. We do not see or keep your full account number. We keep your name, email, payment schedule and mandate reference. Our Privacy Notice explains how we handle your information: solmedia.com.au/privacy.

10.2 We keep records of your DDR and your payments for at least 7 years, as the direct debit rules require.

11. Questions

11.1 Email mail@solmedia.com.au. We reply within 5 business days.
